Program Coordinator – Hoodoo

Job Summary: The OAS Hoodoo Program Coordinator supports the day-to-day operations of the OAS Hoodoo program. Responsibilities include scheduling of OAS athletes, coordinating daily instructor and volunteer schedules, assisting with planning and execution of OAS Hoodoo events. The OAS Hoodoo Coordinator is often the first point of contact for OAS athletes and volunteers and serves as the liaison to Hoodoo Ski Area staff. This is primarily an administrative position; a passion for and experience with snowsports is preferred, but not required.

Reports to: Program Manager

Responsibilities

● Support the delivery of all OAS winter activities to individuals with disabilities.

● Coordinate athlete scheduling & waitlists of OAS participants

● Serve as point person and coordinator for winter groups and events at Hoodoo such as Ski for Life, Alpine Adventures, and Ellie Bartlett Jr Racers Ski day.

● Daily on-hill coordination of staff and volunteers

● Assist with data input on all programs and volunteer training.

● Carry out regular communications to OAS seasonal staff and volunteer pool.

● Act as a program office representative during office hours to greet visitors, answer office phones, take payments and respond to general program inquiries.

● Coordinate daily ticket & rentals needs

● Manage the info@ email and Hoodoo operations line on a daily basis.

● Be a positive representative of OAS programs, events and activities in our community.

● Comply with all Oregon Adaptive Sports policies and procedures.

● Adhere to OAS Values and Culture.

● Participate fully as a member of the Oregon Adaptive Sports staff and volunteer team.

● Other duties as identified.

Qualifications:

OAS is seeking an individual who is detail-oriented, has great customer service and is comfortable doing many daily tasks and problem-solving. This is primarily an administrative position; while experience in the ski industry, especially adaptive skiing, is preferred, it is not a requirement. ● Exhibit a high level of initiative and independence in completing tasks, decision making, and risk management.

● Experience leading and coordinating recreation programs.

● Experience working with individuals with disabilities.

● Excellent interpersonal, verbal and written communication skills.

● Excellent group facilitation and team management skills.

● Ability to work flexible hours; regular schedule includes weekend work.

● Savvy with various technologies including Mac and PC based programs, Google Suite, MS Office, social media platforms, and databases (ie Neon).

● Commitment to a positive, fun and team-oriented working environment

● Valid Driver’s License; must verify own auto insurance.

● Current First Aid card and CPR training (or willingness to obtain within 90 days).

● Clear background check after interview and demonstration of clean driving record.

 

Pay Rate: Hourly, $20-$26/hour.

Status: Seasonal, non-exempt position. Part-time pre-season (16 – 24 hrs), then full-time, high season (35-40 hrs). Starting date Nov. 1st, 2025 – April 3rd, 2026. OAS Offices closed Nov. 24th – Dec 1st (Thanksgiving), Dec. 25th (Christmas), and Jan. 1st (New Years). Blackout period for PTO requests 12/11 – 1/1. 

TRAINING/PRE SEASON:

● Nov. 1st – Dec 21st: 3 days/wk, Wed – Fri (16 – 20 hrs per week). Schedules can be flexible as long as tasks are getting done.

Example of typical pre-season week:

○ Wednesday – Friday: 10am – 4pm @ OAS Office in Bend

○ Attend pre-season orientations and training as scheduled

○ OAS Office Closed: 11/24 – 12/1, Thanksgiving Holiday

HIGH SEASON: Dec. 22nd – Mar. 29th: 5 days/wk: Wed – Sun, 8am – 4pm (35 – 40 hrs per week); Hoodoo opening date: Dec 26, 2025

○ Wed: 10am – 4pm @ OAS Office in Bend

○ Thurs – Sun: 8am – 4pm @ OAS Hoodoo Office

Blackout period for PTO requests 12/26 – 1/11

● SEASON END: April 1st – April 3rd. Wrap-up, complete data entry, and  room clean-up.

Workdays/Schedule: This position requires weekend availability and will regularly work a Wednesday through Sunday schedule through the Winter Season. Wednesday is an OAS office day from approximately 10am-4pm. Thursday through Sunday schedule is 8am – 4pm at Hoodoo. This is not a hybrid position. This schedule may vary slightly during certain weeks based on need and demand.
